Job Description

Our small law firm focuses on helping injured workers through very difficult situations. It is important to us to help guide our clients through the workers’ compensation system to ensure they get through a challenging time in their lives with as few losses and indignities as possible.

We are looking to hire a friendly, personable, and compassionate bilingual (Spanish/English) legal assistant to join our law firm in Eugene/Springfield, Oregon. Legal assistants at our law firm provide a broad variety of legal and administrative support services to our attorneys. Our ideal candidate is independent, organized, a motivated learner, and able to keep calm under pressure.

Essential Duties and Responsibilities:

  • Communicate in a tactful and professional manner with clients regarding their cases in person, by e-mail, and telephone.
  • Communicate in a tactful and professional manner with witnesses, other law offices (attorneys, paralegals, assistants, etc.), and judicial staff regarding clients’ cases in person, by e-mail, and telephone.
  • Keep track of deadlines and work effectively under tight deadlines.
  • Prepare correspondence, pleadings, memoranda, and other legal documents from written and oral drafts.
  • File appeals and requests for hearing with the Workers' Compensation Board and Workers' Compensation Department within statutory deadlines.
  • Follow up on completion of settlement paperwork, including submission of settlement documents to the Workers’ Compensation Board. Track payments made to clients and incoming attorney fees.
  • Read, save, and distribute incoming mail. Ensure outgoing mail is timely delivered. If necessary, route mail to specific delivery service and follow up on timely delivery.
  • Answer and direct incoming phone calls and text messages.
  • Schedule meetings and assist in the management of the office's calendar, including docketing various legal proceedings.
  • Organize legal and medical documents using a scanner.
  • Assist in the management of accounts payable.

Requirements:

  • Must have excellent typing, verbal, and written communication skills.
  • Must have working knowledge of general office technology (e.g. Microsoft Suite, Google Suite, etc.).
  • Must be able to multi-task effectively.
  • Must have strong attention to detail.
  • Must be able and willing to maintain client confidentiality at all times.
  • Must have at least a High School Diploma/GED or equivalent.
  • Must have (or be able to obtain by first date of employment) a valid driver's license.
  • Must be able and willing to accompany attorneys on short trips to meet clients in various locations around the state of Oregon.
  • Must be able and willing to work from the office, although remote work is possible.
  • Must be able to tolerate the presence of a sleeping labrador.

Preferences:

  • Owning your own transportation to run short errands (picking up mail from post office, meeting with clients to sign documents, etc.) is strongly preferred.
  • Candidates with 1 year or more of previous legal secretarial experience, experience working in a legal setting, or experience working in an office/administrative setting is a plus.
  • Working knowledge of legal & court systems is a plus.
  • Experience working with ClickUp or other time-management software is a plus.
  • 2 or more years of college or community college is a plus.
