Job Title: IT Project Coordinator

Location: Miami, FL (Onsite at office and occasional warehouse visits)

Job Type: Contract (W2)

Reports To: Manager – Program Manager

Job Summary

We are seeking an organized and detail-oriented IT Project Coordinator . This role is ideal for someone with strong coordination, procurement, and logistics experience, especially in a fast-paced, hands-on environment. The coordinator will ensure smooth operations between procurement, inventory, vendor travel arrangements, and general project tracking.

Key Responsibilities

Procurement & Logistics Coordination (35%)

• Maintain and manage master order lists
• Create purchase requisitions and coordinate PO issuance
• Oversee shipping schedules and track equipment deliveries

Inventory & Order Reconciliation (25%)

• Update order records and reconcile against purchase orders and billing systems
• Ensure items are properly marked as received, and payments are initiated

Onsite Support (10%)

• Conduct site visits to warehouses to verify inventory
• Assist in shipment preparation

Travel & Accommodation Coordination (10%)

• Arrange travel and lodging for vendors and internal team members

Meeting Support & Follow-Up (10%)

• Prepare meeting presentations, take minutes, and track follow-up actions

Sourcing Alternatives (5%)

• Research and suggest substitutes for unavailable or obsolete items

Departmental Support (5%)

• Perform various support tasks across the department as needed

Required Qualifications

• Education: Associate's degree required; Bachelor’s degree preferred
• Experience: Minimum 3 years in project coordination or logistics
• Technical Skills: A Basic understanding of IT systems or infrastructure is a plus
• Software Proficiency: Microsoft Excel, Word, PowerPoint, and Teams
• Communication Skills: Excellent written and verbal communication in professional English
